You may have heard that the campus e-Travel (TBE) system is being replaced by Concur Travel and Expense System. The University go-live for Concur is April 10. Here are some important housekeeping and readiness tasks!

Get ready for sunsetting TBE:

  • Print to PDF any fully approved TBE travel requests for travel that have not been expensed in TBE. Approved travel requests in TBE will be used to create the corresponding travel expense reports in Concur.
  • TBE will be sunset on April 7.
  • TBE will be available to print fully approved travel requests until Friday, April 28.
  • If your TBE Travel Request or Expense Reimbursement is fully approved by Friday, April 7, it will be processed in TBE (not Concur).

March readiness tasks:

  • Primary Cost Center Authorization Forms must be fully approved by Friday, March 31
  • Primary Travel Administrator Authorization Forms fully approved by Friday, March 31

April readiness tasks:

  • Attend a traveler and/or approver informational session! These sessions are ongoing throughout May 2023. They are short and focused on end-to-end traveler and approver tasks. Register here for an informational session.
  • Sign up for more training! Concur instructor-led classes begin again on April 17. Classes are open to the campus and available as a refresher if you’ve already been trained. Register here for training.
  • Step through the training tutorials. There are over 50 tutorials to show you the specifics of creating and approving travel requests, booking travel, and creating travel and business expense forms. Tutorials are located here.
  • Get up to speed on Policy and Procedure. Important updates to policy will affect your work in Concur. Read up on the latest here.
  • When Concur goes live, log in from the UMB Portal using Single Sign on and create your Concur profile settings. These settings include personal information, verifying your email address, and choosing your delegates (someone who performs work in Concur for you).
  • Download the Concur mobile app and the TripIt Pro mobile app to your mobile device to assist in traveling (must have a verified email address in your profile settings).

The Business Applications page at umaryland.edu has a link to Concur information with lots of resources.

There are FAQs, a link to the tutorials, recordings of training classes, and job aids, such as Naming Conventions for Concur forms and Concur roles.
