Guidelines for Responsible Use of Artificial Intelligence Tools at UMB
July 10, 2025As the University of Maryland, Baltimore (UMB) community moves forward in integrating artificial intelligence (AI) tools into our academic and administrative tasks, it's essential to keep a few key guidelines in mind to support responsible innovation and ensure alignment with UMB’s AI Governance Policy and AI Guidelines. Whether you are using or considering using an AI tool or service, please take a moment to review the following guidelines:
- IT Security and Compliance reviews are required for all AI tools intended for use on University systems. This helps ensure that institutional data remains secure and that we continue to meet regulatory and legal obligations.
- Click-through agreements (including those for free AI services) are only to be signed by the Office of Strategic Sourcing and Acquisition Services since they often bypass necessary University reviews and could expose UMB to unintended risks.
- UMB has cloud-based monitoring tools in place to assist with understanding how AI services are being used within the University environment. If the use of an unsecure tool is identified, IT Security and Compliance will follow up with you directly to provide guidance and, if needed, ensure corrective steps are taken.
If you are currently using or considering using an AI tool for your work or studies, please verify that it has been reviewed and approved through the appropriate channels.
